Privacy Policy

This policy covers how we use your personal information. We take your privacy seriously and will take all measures to protect your personal information. Any personal information received will only be used to fulfill your order, and may be used for internal analytical purposes. We will not sell or redistribute your information to anyone.

Personal Data Protection Statement

Physical Activity and Sports Tech for Healthy Lifestyles is committed to protecting the personal data of our customers by collecting only essential data necessary to fulfill our obligations. Customers are informed of how their data is used and are given regular options regarding its use, including the option to be removed from marketing lists. All customer data is strictly protected and accessible only to employees who need it for their work. All employees and business partners are responsible for upholding privacy protection standards.

Secure Personal Data Transfer Statement

The protection of personal data is conducted in accordance with the General Data Protection Regulation (EU) 2016/679.

Monri WSPay, as the processor for card authorizations and payments, processes personal data in compliance with GDPR and follows the strict PCI DSS Level 1 standards for secure handling and transmission of cardholder information.

During the checkout process, sensitive data is securely transferred through encrypted channels and is not stored on the merchant’s servers. Card transactions are protected with 3-D Secure authentication protocols, such as Verified by Visa and Mastercard SecureCode, which provide an additional layer of security by requiring identity verification directly from the cardholder’s issuing bank.

This ensures that every transaction is authenticated, confidential, and processed in a secure environment compliant with international security standards.

Statement on Currency Conversion

All payments will be made in euros (€). The transaction amount will be converted into the cardholder’s local currency according to the exchange rate of the card networks Visa/Mastercard.

Refund Policy

Cancellations that are notified in writing before 28 February 2026 will be eligible for a refund less 50 euros. Cancellations notified after this date will not be eligible for any refund, however another person may attend the conference.

In the event of a return of goods and a refund to a customer who previously paid with a payment card, whether partially or in full, and regardless of the reason for the return, Physical Activity and Sports Tech for Healthy Lifestyles is obligated to process the refund exclusively through the same VISA or MASTERCARD card that was originally used for the payment. This means that the bank will, at the seller’s request, refund the amount to the cardholder’s account.

Complaints and Dispute Resolution

All complaints related to the payment process, conference registration, or other services must be submitted in writing no later than 30 days from the date of the conference.

Complaints should be sent by email to info@yourdomain.com or by post to the official address of the organizer.

The organizer will confirm the receipt of the complaint and respond no later than 15 days after receiving it.

Please note that refunds for cancellations are governed by our Refund Policy, and that complaints do not override the deadline set for cancellation (28 February 2026).

Complaints regarding card transactions will be resolved in cooperation with our payment processor WSPay/Monri and card issuers (Visa/Mastercard).

Delivery Policy

To make an order of our services displayed on our website, it is necessary to make a single payment for each service with the WSPay payment gateway or via bank transfer. One order can be for one or for several people. These data will be processed and incorporated into our database, as reported in our privacy policies.

To make an order online, the user must click on one of the buttons below and the system will automatically redirect the customer to the payment page. The system will connect with the WSPay payment gateway and will ask the user for their Credit or Debit card details. After confirming the payment by WSPay, you will be sent to the purchase confirmation page. Upon completion of your order, you will receive an email with the formal confirmation of the purchase. In the event that you do not receive the emails with the formal confirmation of the order within 24 hours, you must contact us immediately at conference@pastechl.me.

To make an order by bank transfer, the user must use Incoming Payment Instructions and choose OUR to cover the transfer costs of money as well as send us the scanned receipt if user chooses this payment option to confirm his/her registration is completed to conference@pastechl.me. Upon completion of your registration, the user will receive an email with the formal confirmation of the purchase.

Conference Cancellation or Postponement

The members of the Organizing Committee do not accept any liability for losses incurred in the event of the conference being cancelled or postponed due to an unforeseen event or any other event that renders performance of this conference inadvisable, illegal, impracticable or impossible. An unforeseen event shall include, but shall not be limited to: an Act of God; infectious disease outbreak, industrial disruptions, service provider failures, governmental restrictions and/or regulations; war or apparent act of war; terrorism or apparent act of terrorism; disaster; civil disorder, disturbance, and/or riots; curtailment, suspension, and/or restriction on transportation; or any other emergency.

In the event the conference is cancelled, delegates will be refunded their registration fee.

Insurance

The registration fees do not include insurance of any kind. Participants are advised to take out personal insurance, including cover for travel, accommodation and personal possessions. Neither the conference covers individuals against the cancellations of bookings for any reason including cancellation or postponement of the conference or for theft or damage to belongings.
